This explains what we do with your information when you get a quote, place an order, or email us.

Who we are

Kaki Press Ltd is the data controller for the information described here. We are a Riso print studio in north London.

What we collect

Only what the job needs.

WhatWhen
Your artwork files Separated files when you upload them on the quote page: PDF, PNG or JPG, up to 16MB each. If we are doing the separation for you, you send a link instead and we download the original from it.
Project name and notes to the printer When you type them on the quote page. These are free text, so whatever you put in them is what we get.
Name, email address, phone number At checkout. All three are required, because we need to reach you about the proof before anything goes on press.
Delivery address At checkout, if your order is being posted.
Order details and the amount paid At checkout. Size, quantity, inks, paper, and the price.

We never see your card details. The payment fields at checkout are hosted by Stripe inside our page. Your card number does not pass through this website and we could not store it if we wanted to.

Why we collect it

Almost all of it is to perform the contract between us: to price the job, print it, email you a proof, take payment, and post the result. Under UK GDPR that is the lawful basis for your name, contact details, address, artwork and order.

We keep records of completed orders because we are legally required to, which is the legal obligation basis. If you email us a question without ordering anything, we reply on the basis of legitimate interests, ours being that we would like to answer you.

Your artwork

Files are stored with our hosting provider. Uploads that never turn into a paid order are deleted automatically after 7 days. Files belonging to orders we have printed are kept while the job is live, and cleared out periodically after that.

We may photograph the finished print and the printing process, and show them in our portfolio or on social media, always credited to you. Tell us not to and we won't, at any point. If a print carries anyone's personal details on it, it does not go up without asking you first. The full terms are in our terms of service.

How long we keep things

WhatHow long
Uploads with no paid order behind them 7 days, then deleted automatically
Artwork for printed jobs Kept while the job is live, then cleared out periodically
Order and payment records Six years after the end of the accounting year, because HMRC requires company records to be kept that long
Emails between us Kept while the job is live, then cleared out periodically

Who else sees it

We are a small studio, and nobody buys your data from us or is given it to advertise at you. These are the services that handle parts of a job:

WhoWhat they handle
Our payment providerTaking the payment. Your card details go straight to them and never through this website. We currently use Stripe.
Our file storage and hosting providerHolding your artwork files and serving this site.
Our email providerSending your confirmation, your proof and dispatch notices.
Royal Mail or a courierYour name and delivery address so the parcel arrives, and your email and phone so the courier can send you the delivery updates.

Some of these companies are based outside the UK, so your information may be processed abroad under the safeguards their own agreements provide. We would also hand over information if the law required it.

Cookies

This site sets no cookies and runs no analytics. Nothing here tracks you, and nothing follows you to other sites.

The one thing we do store is your quote, kept in your own browser so the checkout page can pick up where the quote page left off. It lives on your device, not on our servers, and it disappears when you close the tab. Under the cookie rules this counts as strictly necessary, so there is no banner to click.

Your rights

You can ask us to show you what we hold, correct it, delete it, pause our use of it, stop a use you object to, or send you a copy you can take elsewhere.

Email hello@kakipress.uk and we will answer within one month. There is no charge.

Two things we cannot do. We cannot delete records we are legally required to keep, such as invoices for completed orders, until that period is up. And once a job has been printed and posted, deleting the artwork does not un-print it.

If you are unhappy

Tell us first, at hello@kakipress.uk. If we have not put it right, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint. You do not have to come to us first, but it is usually faster.

Changes

If this policy changes, the date at the top changes with it.
